Playbook · Day to day
After a conversation
The minute after a call decides whether the next one starts where this one ended. Tell your assistant what was said, or paste your notes, and it does the filing.
Say this to your assistant
I just spoke to [name] at [company]. Log it in Customer Magic and ask me for anything you need. Here is what happened: Works in any assistant connected to Customer Magic. Not connected yet?
You need
- What was said: a few sentences, your notes, or a transcript
You end with
- The deal shows that the conversation happened, and when
- What they want, what they doubt and what was promised, in their words
- One next step with a date
- 01
It finds the deal
Or asks which one if there are several, or creates it if the person is new.
- 02
It records what happened
A reply, a meeting booked, a meeting held. This is what moves the deal along your board; a note alone does not.
- 03
It writes down what was said
What they want, what they objected to, who else decides, any number or deadline, and who promised what. Their words, not a summary of them.
- 04
It names the next step
The smallest physical move, with a date. If the ball is with them, a nudge on the day they said.
- 05
It handles what else changed
Money that arrived is recorded as revenue. “Not now” is parked until their date. Dead is dropped with the reason.
What it will never do
- Record a quote or a forecast as revenue
- Add conclusions the other person did not state
- Stop before there is a next step
Read what your assistant reads
This is the file itself, section by section. It names the exact actions your assistant takes on your board, in the order it takes them.
- Their words, not your summary of them. Keep names, numbers, dates and objections as they were said.
- What happened and what was noted are two different records. Contact moves the deal along the board. A note does not.
- Only real money is revenue. An amount that was quoted or hoped for is a note.
- One next step, with a date, before you stop.
