Bring a list in

Hand your assistant the list you already have. It tells you how many people are new and how many you already know before it adds anyone, then helps you give the ones that matter a next step.

Say this to your assistant

Import this list into Customer Magic. Show me how many are new and how many are already on my board before you add anything.

Works in any assistant connected to Customer Magic. Not connected yet?

You need

  • The list, in any form: a file, an export, a pasted table, a photo
  • A name for where it came from, such as “Expo 2026”

You end with

  • Every person on your board once, tagged with their source
  • Columns that did not fit kept in each deal’s notes
  • A dated next step on the deals you will work this week
What happens, in order
  1. 01

It reads the list back to you

How many rows, which columns it found, and where each one will go. Anything it cannot place is kept in the notes, never dropped.

  2. 02

    You agree one tag

A short name for the batch, so you can pull these people up together later. It reuses a tag you already have before inventing a new spelling.

  3. 03

    It shows the numbers first

New, already on your board, and rows it could not read. Nothing is written until you say yes.

  4. 04

    It imports

People already on your board are left alone, including ones you dropped. A name you decided against does not come back as new work.

  5. 05

You pick who gets a next step

It asks who you will really contact this week and sets a step with a date for each. The rest stay, or are parked until a date you choose.

What it will never do

  • Add someone who is already on your board
  • Guess a deal stage from a column it does not recognise
  • Contact anyone on the list
Good to know
How long can the list be?
As long as you like. It goes in 200 rows at a time, and your assistant splits it for you.
What does it cost?
One task per batch, however many rows are in it. Looking at the numbers first costs nothing.
Can I run it twice?
Yes. The second run finds everyone already there and adds no one.

Read what your assistant reads

This is the file itself, section by section. It names the exact actions your assistant takes on your board, in the order it takes them.

  • Show before you write. Every import runs first with dryRun: true. Tell the person what would happen, then wait for a yes.
  • Never invent a field. An empty cell stays empty. A status you do not recognise goes into the notes as text, never into a stage you guessed.
  • Nothing the person typed is thrown away. A column you cannot place goes into that card's notes as Heading: value.
  • You contact nobody. This playbook puts people on a board. It sends nothing.
