Close out an event

Most event follow-up dies in the first week, with the cards still in a jacket pocket. This playbook is that week, in order, and it does not let you call the event finished while someone you spoke to has no next step.

Say this to your assistant

I’m back from [event]. Help me close it out in Customer Magic: get everyone onto my board, sort them, and make sure nobody I follow up with is left without a next step.

Works in any assistant connected to Customer Magic. Not connected yet?

You need

  • The contacts: a scanner export, a spreadsheet, photos of cards, or names from memory
  • What you remember of each conversation, while you still do

You end with

  • Everyone you met under one tag, each sorted into this week, later or no
  • A dated next step on every conversation that is still alive
  • A five-line summary of what the event produced
What happens, in order
  1. 01

    It names the event

One tag, with its dates and a sentence on what it was. Everything else hangs off that.

  2. 02

It gets everyone onto the board

Showing you first how many are new and how many you already knew, with what was said at the stand in each deal’s notes.

  3. 03

    You sort, in one table

This week gets a next step. Later is parked until a real date. No is dropped with the reason.

  4. 04

It keeps count as you follow up

Each message sent, reply received and call booked is recorded, so the event’s totals are real.

  5. 05

    The close-out check

Anyone you have been in touch with who has no next step is listed, and each is settled before you close.

  6. 06

    Summary, then close

Captured, contacted, replied, met, won, still open. Closing changes no deal; your follow-ups stay on your list.

What it will never do

  • Send a follow-up you did not ask for
  • Invent what was said when nobody remembers
  • Close the event with a conversation left hanging
Good to know
It is three weeks later. Too late?
No. What you already sent is recorded with its real date, and you start at sorting.
Can I see the totals myself?
Yes. The event’s tag on your board shows deals per stage, revenue, and how many contacted people still lack a next step.

Read what your assistant reads

This is the file itself, section by section. It names the exact actions your assistant takes on your board, in the order it takes them.

  • One tag for the whole event, agreed once and reused. Two spellings of the same event are two halves of a group nobody can see whole.
  • Sort everyone. Chase few. A next step you will not do is worse than an honest "later".
  • You send nothing unless the person asks you to, one message at a time.
  • The event is not closed while someone you contacted has no next step.
