Playbook · Runs without you
Review what comes in
Sign-ups, event registrations and form entries arrive faster than anyone sits down to look at them. This playbook sets up two workers in your own assistant: a scout that files each one, and a fixer that proposes what to do with it. Every proposal comes to you first.
Say this to your assistant
Set up the incoming review in Customer Magic. Ask me which sources matter and who is worth a conversation, then do a trial run before anything is switched on.Works in any assistant connected to Customer Magic. Not connected yet?
You need
- An assistant that can run on a timer and read where your sign-ups and registrations live
- A sentence or two on who is worth a conversation
- The accounts nobody should act on without you
You end with
- Every new sign-up and registration looked at once, whether or not you sat down
- A short list of proposals waiting for one tap, each with its reason
- A line in your morning mail if a worker stops running
- 01
You name the sources
Where sign-ups, registrations and form entries live. It reads one real entry from each before going on, so a broken connection shows up now and not in a week.
- 02
You say who is worth a conversation
In your own words. Every proposal is judged against this text, and you read each reason against it.
- 03
A trial run shows what would happen
Who came in over the last few days and where each would go. Nothing is written until you say it looks right.
- 04
Two workers start on a timer
The scout files each new entry as a plain fact. The fixer proposes: a new deal with a first step, a note on a deal you already have, or ignore. Both fetch their instructions fresh on every run.
- 05
Customer Magic sorts what needs no judgment
Someone already on your board, someone you dropped before, or a key account is recognised by lookup. A key account skips the fixer and comes straight to you.
- 06
You decide, then hand over
Everything comes to you first. When one kind of decision keeps going the way it was proposed, you switch that kind to run on its own. You can switch it back.
What it will never do
- Contact anyone
- Act on a key account, whatever else you have handed over
- Decide for you before you hand that kind of decision over
- Does my assistant need to run on a timer?
- For it to happen in the background, yes. Without that you can still start each worker by saying “run the scout” and “run the fixer”.
- What about questionnaire answers?
- By default only the fact that someone took part is used, not what they answered. People gave those answers for a different purpose, so that is yours to allow.
- What does it cost?
- One task per batch the scout files that contains something new. Trial runs, proposals and your decisions cost nothing.
- How do I stop it?
- One switch on the Review screen pauses both workers at their next start.
Read what your assistant reads
This is the file itself, section by section. It names the exact actions your assistant takes on your board, in the order it takes them.
- The user has the final word on every proposal until they hand a kind of decision over, in the app. You cannot hand anything over for them and neither can a worker.
- No worker ever contacts a person. Not a mail, not a message, not a connection request. Put that on the never-list whatever else the user says.
- Read-only on the sources. A worker reads the user's systems and writes only to Customer Magic.
- Prove it before you leave it. A routine you did not watch run once is a routine you are guessing about.
The two workers follow their own instructions, and you can read those too: the scout and the fixer and the overdue review and the review, together.
